The Frac Grand Large can be approached regarding the loan of works from its collection for temporary exhibitions, to be shown in the region, throughout France or internationally.

This loan of artwork(s) is subject to a protocol designed to ensure that the collection is displayed under the best possible conditions. Each application is assessed by an internal loans committee, which examines the borrower’s ability to meet the requirements relating to the conservation of the works, insurance, transport security, installation and supervision.


LOAN TERMS AND CONDITIONS

PAY-AS-YOU-GO

Managing the collection involves administrative tasks and management costs such as: packaging, restoration and condition reports. Any borrower located outside the FRAC network and the Hauts-de-France region is required to pay a flat-rate administrative fee, depending on the number of works borrowed:

– 1 to 5 works: €250

– 6 to 10 works: €500

– 11 or more works: €750

Once the loan agreement has been approved, the application will be processed upon receipt of this lump sum payment.

The flat-rate fee applies to loans outside the Hauts-de-France region and the FRAC network

EXHIBITION RIGHTS

The Frac Grand Large pays the artists’ exhibition fees for each of its projects. In the case of a loan, this cost is borne by the borrower. The scale applied is based on the recommendations of the Ministry of Culture or – if the artist is a member of a copyright collecting society – on the scale set by that particular society. The Frac Grand Large assists borrowers to facilitate this process.

Projects carried out in schools or aimed at people who are unable to attend are exempt from exhibition fees.


INSTRUCTIONS FOR USE

Request: A letter or email requesting a loan must be addressed to the Director of the Frac, Ms Keren Detton, and sent by email to the collection managers Kim Ranché (k.ranche@fracgrandlarge-hdf.fr) and Alicia Laurent (a.laurent@fracgrandlarge-hdf.fr).

The letter/email must state:

  • – The title of the exhibition
  • – The start and end dates of the exhibition
  • – The name of the venue
  • – The full address of the exhibition venue
  • – Project summary
  • – A list of the works requested, including their inventory numbers
  • – The full contact details of the person responsible for the case
  • – The full contact details of the person signing the agreement

Any incomplete application will result in a delay in its processing.

Submission deadline: at least 6 months before the start of the exhibition.

A loan taken out abroad involves additional administrative procedures – in particular authorisation to leave French territory – which add a further one to two months to the processing time.

APPROVAL AND DISBURSEMENT OF THE LOAN

If your application is successful, a confirmation email will be sent to you. A loan agreement is drawn up between the borrower and Frac Grand Large. This sets out the general terms and conditions of the loan and is accompanied by technical information relating to the works.

Proof of insurance for the works* must be received by the Frac before the works are collected. The carrier will not be able to collect the works unless this proof is presented.

* (full cover, comprising: the loan period, including return transport; the exhibition period; and a three-week period from the date of return)

Important: The costs of transport, packaging and insurance for the works are always borne by the borrower.

Some loans incur charges that may be passed on to the borrower:

· making a box

· supervision / catering

· supplies of materials required for the operation of the project / maintenance

· transport

AMENDMENT TO THE APPLICATION

For any requests regarding additional loans, changes to dates or venues, an email must be sent to Kim Ranché, Collections Officer, at least one and a half months before the date on which the works are to be collected.


GOING ONE STEP FURTHER

Every year, the Frac Grand Large organises and supports exhibition projects at various private and public organisations (charities, media centres, art centres, universities, museums, local authorities, etc.).
